Most commercial carpet should be steam cleaned every six months, with the traffic lanes done quarterly in busy areas, and medical waiting rooms and heavily used common areas every three months. Those are starting points, not rules. The right frequency for your carpet depends on foot traffic, the colour and fibre, whether food is eaten over it, and how good the vacuuming is between cleans. This guide explains what moves the frequency, what a proper steam clean involves, and how to schedule it so it happens before the carpet looks tired rather than after.

Why frequency matters more than people think

Carpet holds soil out of sight until it does not. Grit works down into the pile and cuts the fibres as people walk, which is why traffic lanes go grey and matted while the carpet under the desks still looks new. Vacuuming removes the loose dry soil; it does nothing for the oily film that comes from shoes, food and air conditioning, and that film is what holds the grit in place. Hot water extraction lifts the film and the grit out of the fibres. Left too long, the lanes wear through and no amount of cleaning brings them back.

What decides the frequency

Foot traffic. A reception, the path from the lift to the kitchen, and the area around the printer carry most of the office. Those lanes may need quarterly attention while the rest of the floor manages on six-monthly.

Colour and fibre. Light, plain carpet shows soil sooner than patterned or darker carpet. Wool and wool blends hold up differently from solution-dyed nylon, and the walkthrough should identify the fibre before anyone recommends a frequency.

Food and drink. Open-plan offices where people eat at their desks, and meeting rooms used for catered lunches, need more frequent cleaning and spot treatment between cleans.

Vacuuming quality. Thorough nightly vacuuming, including edges and under desks, extends the time between steam cleans. The office cleaning checklist shows what that vacuuming should cover.

The setting. Medical and dental waiting rooms are cleaned more often, with products suited to the setting, because the people sitting on the carpet's edge are patients.

Typical starting points

SettingWhole floorTraffic lanes
Professional office, light useAnnuallySix-monthly
Open-plan office, 20 or more staffSix-monthlyQuarterly
Medical or dental waiting roomQuarterlyQuarterly
Strata corridors and lift lobbiesQuarterly to six-monthlyQuarterly
Training rooms and meeting rooms with cateringSix-monthlyQuarterly

Use these to start a conversation with your cleaner, then let the inspection results adjust them. If the lanes look grey before the next scheduled clean, the frequency is wrong.

What a proper steam clean involves

  1. Thorough vacuum first, so extraction removes soil rather than dust.
  2. Pre-spray of traffic lanes and heavily used areas, left to work before extraction.
  3. Spot treatment of coffee, ink, food and other stains with the appropriate product.
  4. Hot water extraction across the whole area, with slow drying passes to pull the moisture back out.
  5. Edges, corners and under movable furniture, with chairs and bins moved and replaced.
  6. Grooming of the pile so lanes do not show as the carpet dries.
  7. Air movers where airflow is poor, to shorten dry time.

A fast contractor skips the slow drying passes, which is why some carpet smells for a week and other carpet is dry by 7am. Delta's carpet steam cleaning is done in the evening so the floor has the night to dry, and anything that could not be fully removed is noted in the portal.

Dry times and when to clean

Expect four to eight hours with normal airflow. Clean in the evening, leave the air conditioning running where possible, and keep foot traffic off until the morning. For a practice, that means after the last session; for an office, after the last person leaves. Rooms with no ventilation get air movers. Nobody should be walking on damp carpet with street shoes, because that is how a freshly cleaned lane gets its first new mark.

The things steam cleaning will not fix

  • Carpet worn through in the lanes: the fibres are gone, and no cleaning replaces them
  • Old dye transfers and some inks: they may lighten, but not disappear
  • Loose or rippled carpet: that is a stretching job, not a cleaning one
  • Odours from spills that have reached the underlay: cleaning the surface helps, but the underlay may need treatment or replacement

A good contractor tells you which of these applies at the walkthrough. Be careful of anyone who promises every stain will come out.

Scheduling it so it actually happens

Carpet steam cleaning is the periodic task most often forgotten, because it is nobody's job to remember it. Put it in your cleaning scope as a line item with its own frequency and date, so it is scheduled rather than booked on complaint. In Delta's client portal the next steam clean sits as a dated task, the visit is recorded when it happens, and the inspection score shows how it went. The same approach applies to hard floors; the guide on when floors need a strip and seal explains the equivalent for vinyl.

Between cleans: what keeps the frequency down

Steam cleaning less often is mostly a matter of what happens in between. Good entrance matting, shaken or vacuumed every visit, stops most of the grit at the door. Thorough nightly vacuuming with the edges and under the desks done, not just the lanes, removes the dry soil before it is walked in. Spills treated the same day with a clean cloth and water rather than left to set are spots, not stains, by the time the carpet is next cleaned. A no-food rule in meeting rooms is unrealistic in most offices, but a quick wipe of crumbs after a catered lunch is not. None of this replaces the steam clean, but together it can be the difference between quarterly and six-monthly on a busy floor, and it is all in a good regular scope.

Next step

Look at your traffic lanes in daylight. If they are darker than the carpet under the desks, it is time. Book a free walkthrough and the owner calls you within 30 minutes during enquiry hours. Offices in Toowong and practices along Old Cleveland Road in Coorparoo are examples of where carpet is scheduled as part of the regular scope.

Questions people ask

How long does commercial carpet take to dry after steam cleaning?

Usually four to eight hours with normal airflow, which is why the work is done in the evening. Air movers shorten that in rooms with no ventilation, and leaving the air conditioning running helps.

Will steam cleaning remove old stains?

Most food, coffee and general soiling comes out with pre-treatment and extraction. Old stains, dye transfers and some inks may lighten but not disappear. A good contractor says so at the walkthrough rather than after the job.

Is steam cleaning the same as hot water extraction?

In commercial cleaning the terms are used interchangeably. The method is hot water and a cleaning agent applied under pressure and extracted immediately, which is what most carpet manufacturers specify for their warranties.
